Procedure
Purpose: 

To describe the policy for reserving classrooms, conference rooms and seminar rooms at the KU Edwards Campus.

Applies to: 

All students, faculty, staff and community members.

Policy Statement: 

Access to Classrooms, Conference Rooms and Seminar Rooms:

  1. Individual KU undergraduate, graduate and non-credit students may not reserve or occupy classrooms, conference rooms and seminar rooms at the KU Edwards Campus and will be directed to the Hawks Nest and other study spaces outlined below. Should students need space for coursework beyond what is available, they may contact their instructor to assist in making the reservation for their group by contacting the Edwards Campus Assistant Director of Administrative Services. In consultation with the instructor, the Assistant Director will determine the most appropriate and available campus location for the student(s).
  2. Faculty and staff wanting to reserve a classroom, conference room or seminar room must do so by requesting space through the Edwards Campus Events Team.  Accommodations will be determined on a case-by-case basis.  Regular classroom assignments for all coursework are managed separately by the Edwards Campus Assistant Director of Administrative Services.
  3. Community members (including KU alumni) wanting to utilize space at the Edwards Campus, should contact the Edwards Campus Events Team for access and rental options.
  4. The Jayhawk Room, located in the Hawks Nest, is available on a first-come, first-served basis for KU undergraduate, graduate, and non-credit students as well as faculty, staff and community members seeking study space.

Hawks Nest & Other Study Spaces (Public Space):

The Hawks Nest is located on the first floor of the Regents Center building and has both collaborative and quiet study space available on a first-come, first-served basis for KU undergraduate, graduate, and non-credit students as well as faculty, staff and community members. For additional quiet study spaces, the Welcome & Success Center has a list of other appropriate “study” areas on campus.  

Access to Campus Spaces:

All parties accessing space on campus (public or reserved) must abide by posted campus operating hours. Space is available only during posted times, and students/guests are expected to follow campus security directions for abiding by these times.  Only parties who have special arrangements through the KU Edwards Campus Events team have access to campus facilities outside of posted hours.
