KU Libraries: Off-campus Access to Licensed Electronic Resources

Policy
Purpose: 

To define the requirements for off-campus access to the KU Libraries electronic resources licensed for use by KU Students, Faculty, Staff, and Affiliates on the Lawrence and Edwards campuses.

Applies to: 

All users of the University of Kansas Libraries licensed electronic resources including: 1) KU Undergraduate, Graduate, and Law students currently enrolled through the Lawrence and Edwards campuses; 2) KU Faculty (including Lecturers), Unclassified Academic Staff, Unclassified Professional Staff, University Support, Staff, and Affiliates (including Emeritus and Retirees) currently in active or leave status in Lawrence/Edwards campus HR records; 3) KU Med Students, Faculty, and Staff; 4) Resident and Reciprocal library users; 5) Visiting Scholars, and 6) all other visitors. This policy applies to electronic resources licensed for use by KU Students, Faculty, Staff, and Affiliates on the Lawrence and Edwards campuses.

Policy Statement: 
  1. KU Students, Faculty, Staff, and Affiliates. Off-campus access to the KU Libraries licensed electronic resources, including databases, e-journals, and e-books, requires current enrollment or employment with the University of Kansas, and is available as outlined here.
    1. University of Kansas Undergraduate Students, Graduate Students, and Law Students currently enrolled through the Lawrence and Edwards campuses including Graduate Teaching Assistants and Graduate Research Assistants.
      1. Current enrollment is defined as enrolled at the University of Kansas for the current semester. New students have library privileges beginning with the first day of classes for the first semester enrolled in classes.
      2. From mid-May through mid-August, enrollment for the summer session or the forthcoming fall semester (if enrolled for the previous spring) qualifies as current enrollment.
      3. To avoid a break in service following active summer enrollment, the student must be enrolled for the forthcoming fall semester.
      4. From mid-December through mid-January, enrollment for the forthcoming spring semester qualifies as current enrollment (if enrolled for the previous fall).
      5. For students who have a lapse in enrollment, library privileges resume with the first day of classes for the next semester enrolled.
      6. Late enrollment will delay activation or re-activation of library privileges.
      7. Off-campus access for Graduate Teaching Assistants, Graduate Research Assistants, and Student Hourly Employees is determined by the student's enrollment status, not the employment status.
      8. Off-campus access to these resources ends immediately following graduation from the University.
    2. University of Kansas Faculty (including Lecturers), Unclassified Academic Staff, Unclassified Professional Staff, University Support Staff, and actively authorized Affiliates (including Emeritus, Retirees, and Visiting Scholars).
      1. Current employment requires active or leave payroll status or active status as an Affiliate in the University of Kansas (Lawrence and Edwards campuses) Human Resource records.
      2. Individuals with term appointments, including Lecturers and many Affiliates, have access to library resources while in active status in KU Human Resource records.
      3. Off-campus access to these resources ends immediately following the end of employment with the University. The exception is that Emeritus and Retirees, as determined by Human Resource record status, continue to qualify for access to licensed resources as described in this policy.
  2. All Other Library Users.
    1. All other library users, including KU Med Students, Faculty, and Staff, Resident and Reciprocal library users, Visiting Scholars not qualified as KU Affiliates, Kansas Residents, and all other visitors to the KU Libraries may use the licensed electronic resources onsite in a KU Libraries location (some restrictions may apply).
    2. Off-campus access to the Libraries' licensed electronic resources is not included with the purchase of a KU Library Borrower Card, and access cannot be purchased from the KU Libraries owing to the licensing agreements entered into with the resource providers.
    3. Electronic resources licensed for the Lawrence and Edwards campuses are not available to KU Medical Center Students, Faculty, and Staff unless the resource has also been licensed for KU Med.
    4. A limited selection of electronic resources has been licensed for access by registered members of the KU Alumni Association. See KU Libraries Access.
Exclusions or Special Circumstances: 

This policy does not apply to Wheat Law Library on the Lawrence campus or to the KU Medical Center libraries (Clendening, Dykes, and Farha).

Consequences: 

Individuals no longer enrolled or employed at the University of Kansas will no longer qualify for off-campus access to the KU Libraries licensed electronic resources at the same level described in this document.
